The terms that govern your use of CallHive's website, demos, and AI receptionist services.

01Introduction
These Terms and Conditions apply to the use of CallHive's website, demos, AI receptionist services, call handling services, lead capture, booking support, and related communication services.
By using CallHive's services, the client agrees to these Terms and Conditions.
02Services
CallHive provides AI-powered receptionist services including:
- Answering inbound calls
- Answering customer questions using approved business information
- Capturing caller and lead details
- Qualifying enquiries
- Identifying urgent or emergency enquiries
- Booking jobs and appointments where calendar or booking access is connected
- Transferring calls to the right person or department
- Sending call summaries or lead information to the business
- Supporting SMS, email, CRM, calendar, or follow-up workflows where enabled
CallHive does not guarantee sales, new customers, booked jobs, revenue, or business results. Results depend on the client's offer, market demand, pricing, availability, service quality, and follow-up.
03Monthly Billing & Payment Terms
- CallHive bills clients monthly in advance.
- CallHive does not charge setup fees.
- The client pays according to the agreed monthly plan, invoice, proposal, or written agreement.
- South African clients may pay through PayFast where available.
- International clients may pay through PayPal where available.
- Other approved payment methods may be offered by CallHive where applicable.
- Usage-based costs such as extra call minutes, SMS, phone numbers, integrations, overages, or third-party platform costs may be charged separately if applicable.
- Late or failed payments may result in suspension or cancellation of the service.
- CallHive may update pricing with reasonable notice.
04Cancellation Policy
- Clients may cancel at any time by giving written notice to CallHive.
- Cancellation stops future billing.
- If a client cancels, their service normally remains active until the end of the current paid monthly billing period.
- CallHive may suspend or cancel service for non-payment, misuse, unlawful activity, abuse of the service, or breach of these terms.
05Refund Policy
- Monthly fees are non-refundable once paid.
- CallHive does not offer refunds once a monthly payment has been made.
- No refunds are provided for unused time, unused call minutes, unused features, or early cancellation during a paid month.
- Usage-based charges are non-refundable once used or incurred.
- The client is responsible for reviewing the service before continuing with monthly billing.
06Privacy & Data Protection
CallHive takes privacy and data protection seriously.
CallHive may process personal information such as:
- Names
- Phone numbers
- Email addresses
- Appointment details
- Customer enquiry details
- Business information
- Lead details
- Call notes or call summaries
- Calls are not recorded by CallHive.
- CallHive does not sell, leak, or publicly share customer phone numbers, caller details, private business data, lead information, or customer information.
- Personal information is used only to provide, operate, improve, support, and secure the CallHive service.
- Data may be used to answer calls, capture leads, book appointments, send call summaries, troubleshoot issues, manage billing, and maintain service quality.
- CallHive takes reasonable technical and organisational measures to protect customer and caller data.
- Access to personal information is limited to what is necessary to provide and support the service.
- CallHive may use trusted third-party providers for AI, telephony, SMS, email, hosting, calendar booking, CRM, automation, analytics, and payment processing.
- Data may be processed in different countries where required to provide the service.
CallHive aims to handle personal information responsibly and to comply with applicable data protection laws where required, including South Africa's Protection of Personal Information Act, 4 of 2013 (POPIA), where applicable.
07Client Responsibilities
- Clients must provide accurate business information, service details, pricing, operating hours, booking rules, emergency instructions, and contact details.
- Clients are responsible for making sure they have the correct consent, notices, and lawful basis to allow CallHive to process caller and customer information.
- Clients are responsible for reviewing call summaries, following up with leads, and honouring appointments where applicable.
- Clients must not use CallHive for unlawful, misleading, abusive, harmful, or non-compliant purposes.
08Intellectual Property
- CallHive owns its branding, website content, AI prompts, workflows, templates, scripts, systems, processes, documentation, and service materials.
- Clients may not copy, resell, sublicense, reverse-engineer, or distribute CallHive materials without written permission.
- Client-owned logos, business information, service details, and customer data remain the property of the client.
- Access to CallHive systems, agents, workflows, and materials is provided only while the client has an active paid subscription, unless otherwise agreed in writing.
09Limitation of Liability
- AI systems, telephony, SMS, internet services, third-party platforms, calendars, CRMs, and integrations may occasionally fail, produce errors, or experience downtime.
- CallHive is not responsible for lost profits, lost revenue, missed jobs, missed calls, indirect damages, third-party platform failures, incorrect information provided by the client, or failure by the client to follow up with leads.
- CallHive is not responsible for business decisions made by callers, customers, or third parties.
- CallHive's total liability is limited to the amount paid by the client for the affected service during the one-month period before the claim, unless applicable law requires otherwise.
- The AI receptionist should not be used as the only system for emergencies, legal advice, medical advice, financial advice, or situations requiring immediate human judgement.
10Governing Law
These Terms and Conditions are governed by the laws of South Africa. Any disputes relating to these Terms or CallHive's services will be handled under South African law, unless another written agreement applies.
