01Overview

CallHive operates a 24/7 AI receptionist that answers phone calls on behalf of client businesses. This policy explains what information we handle, why we handle it, and the choices available to callers and clients. It applies to the CallHive website, demos, and the AI receptionist service.

02Information We Collect

Depending on how CallHive is used, we may collect:

  • Caller details captured during a call, such as name, phone number, email, address, and the reason for the call.
  • Call audio, transcripts, and AI-generated summaries used to deliver the service and improve accuracy.
  • Client account information provided during signup, such as business name, contact details, service area, hours, pricing, and FAQs.
  • Website and demo form submissions, such as name, business name, industry, phone number, and email.
  • Basic technical information from website visits, such as device, browser, and general location, used for security and analytics.

03How We Use Information

Information is used to:

  • Answer calls, respond to questions, capture leads, and book jobs, quotes, or callbacks.
  • Send call summaries, transcripts, and lead details to the client business.
  • Route urgent enquiries to the correct person by call, text, or email.
  • Operate, maintain, and improve the CallHive service and AI models.
  • Provide customer support, billing, and account management.
  • Comply with legal obligations and enforce our Terms and Conditions.

04Sharing Information

CallHive does not sell personal information. Information may be shared with:

  • The client business whose phone line the caller reached — call details, transcripts, and summaries are shared with that business as part of the service.
  • Trusted service providers that help operate CallHive, such as telephony, hosting, AI, email, SMS, and CRM providers, under confidentiality obligations.
  • Authorities or third parties where required by law, court order, or to protect rights, safety, and property.

05Data Storage and Security

Information is stored on reputable cloud infrastructure and protected with access controls, encryption in transit, and standard security practices. Access is limited to staff and providers that need it to operate the service. No system is completely secure, but CallHive works to protect information against unauthorised access, loss, or misuse.

06Data Retention

Call recordings, transcripts, and lead data are kept for as long as needed to deliver the service to the client business, meet legal and accounting requirements, and resolve disputes. Clients may request deletion of specific records, subject to legal and operational requirements.

07Your Rights

Depending on the jurisdiction, individuals may have rights to access, correct, delete, or restrict the use of their personal information, and to object to certain processing. Requests should be sent to the contact address below. Where a caller's information sits inside a client business's account, CallHive will work with that business to action the request.

08POPIA and International Users

CallHive works with businesses in South Africa, the United States, and internationally. Where the Protection of Personal Information Act (POPIA) or similar laws apply, CallHive acts as an operator or processor for the client business and handles personal information only for the purposes set out in the client agreement and this policy.

09Cookies and Analytics

The CallHive website uses a small number of cookies and analytics tools to keep the site secure, measure traffic, and improve the product. Analytics data is aggregated where possible and is not used to build advertising profiles of individual visitors.

10Changes to This Policy

This policy may be updated from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
